Business Letter- Complaint

Dear Mr. Smith,
I am writing to you for a problem that we had with your services. The last December your company gives us the service of caterer for the Christmas party. All our employees said that the food was delicious and I am agree with them, but something happened that fifteen of our employees got intoxicated with the food that your company served.

First of all, I want you to know the consequences that this situation brings to our company. In the middle of the Christmas party, half of our guest had to go to the hospital and the party went into a total disaster. We have to give them incapacity for one week, most of the employees that got intoxicated were from the production department, so we were forced to reduce a lot the production and in consequence we have lost for around $5,000 dollars.  

We really expect that your company takes care of this situation, so we want at least half of our money back. Your company has to be focused on what they are doing to get round a future problem. Can we meet the next Friday at 10 am to arrange the problem?

    I am the business representative from Donald's caterer service and I am glad to hear about you. If you provide us more information about your contract with our company, we will be able to help you more efficiently. When we get the data, we will open an exclusive case for this problem. Also, the chairman of our company requests that we will only negotiate with accountability people due to the sensitive nature of the case.
    In the same way, I want you to know that we are acquainted with this case but I have to request information for reasons of bureaucracy.

    Nevertheless, I think we can begin to come up with solutions like the proposition you made. I mean, we can give you all the money that you paid us for our catering service to cover material damage that was caused by our services. In fact, another option which we can use to revert the harm is a compensation plan for non-pecuniary damage. Maybe, this alternative is our best to paid off for everyone.

    In summary, I agree that we have to arrange a meeting to discuss about this topic ant the day which you chose suit me perfect.

  2. Hello Miss Lopez,
    I’m glad you took the time to write us and inform what happened with our service and I would like to apologize in advanced.

    I don’t know what happened with those fifteen employees that got intoxicated because, as you may know, we are obligated to have a quality control on every product we offer. Everything is marked with its expiring date and we keep them refrigerated to keep the food fresh. Said that, I apologize again and I’m personally going to keep track of the problem.

    About the meeting, it is impossible for me to meet at 10 am as I already booked a meeting, thought, at noon it is perfect for me. I am requesting the reschedule because I want to take care of the problem personally and then arrange everything with my staff. I hope you accept my request and I will be waiting for your answer.

    Make sure we are going to find one way or another to solve this problem and keep both part of interest in good terms.
